What will you be doing? 🤔
- Front Desk Management: Greet and welcome visitors, clients, and employees with a positive and professional attitude. Ensure all guests are appropriately logged and directed to the correct departments.
- Telephone Handling: Answer, screen, and direct incoming calls promptly and professionally, taking accurate messages when necessary.
- Visitor Coordination: Manage visitor sign-in/out procedures, issue visitor badges, and ensure all safety protocols are followed.
- Administrative Support: Assist with a variety of administrative tasks, such as data entry, filing, photocopying, and handling incoming and outgoing mail and deliveries.
- Facility Coordination: Liaise with the facilities management team to coordinate meeting room bookings, maintain office supplies, and ensure the reception area is tidy and welcoming.
- Health & Safety: Ensure visitors and employees are aware of health and safety regulations and procedures, particularly in the context of a manufacturing environment.
- Record Keeping: Maintain accurate records of visitor logs, employee attendance, and other relevant documentation.
- Assist with Finance activities: support purchasing and creating purchase orders, recording deliveries.
- Assist in HR Functions: Support the HR team with tasks such as onboarding new staff, maintaining staff records, and assisting with employee communications.
This is a Monday - Friday role, with Part-time hours considered during those days.
What do we need from you? 💪
- Previous Experience: Proven experience as a receptionist, front desk representative, administration or in a similar customer-facing role, preferably within a manufacturing or industrial setting.
- Communication Skills: Excellent verbal and written communication skills with a professional telephone manner.
- Organizational Abilities: Strong multitasking and time-management skills, with the ability to prioritize tasks effectively.
- IT Proficiency: Competent in using Microsoft Office Suite (Word, Excel, Outlook) and familiarity with general office equipment (printers, scanners, etc.).
- Interpersonal Skills: Friendly, approachable, and able to build good rapport with colleagues and visitors.
- Attention to Detail: High level of accuracy and attention to detail in all tasks.
- Adaptability: Ability to adapt to a fast-paced environment and handle unexpected situations calmly and professionally.
